Step 1: Dodging the Compatibility Trap Before Ordering

The client sent over a screenshot of a Xianyu listing, wanting to buy 4 units. I immediately contacted the seller to verify availability. While chatting, my tech background and sourcing instincts kicked in, prompting me to ask a quick question: “Hey man, which version of the PlayStation 5 are you planning to use these with?”

The client replied: “European version.”

That single question saved him from a huge headache. The controllers from this specific Xianyu seller were Japanese editions, which have known compatibility risks with certain European consoles. Although I recommended a universal version, the client mentioned he owned other Japanese-spec consoles and decided to proceed with the budget-friendly listing.

A good proxy buyer doesn’t just place orders; we act as your local eyes and ears to double-check the crucial details. Once everything was confirmed, the client smoothly handled the advance payment via Alipay.

Step 2: Inspection time—Handling Rough Transit Issues

Domestic shipping in China is lightning fast, and the package arrived at my place within two days.

Since this package was headed to the client’s domestic freight forwarder in Foshan before making its long journey to France, performing a rigorous package inspection at my warehouse was vital.

The moment I opened the courier box, I noticed the outer packaging was heavily dented and deformed due to rough handling during transit. Without missing a beat, I took unedited photos and sent them straight to the client. I then unboxed everything on the spot, taking close-ups of all 4 controllers to verify the Sony logos and hardware integrity.

Fortunately, while the outer boxes took a beating, the controllers themselves were flawless. The client was incredibly relieved, replying with a quick: “All right, no problem thanks!”

Step 3: Hardcore Repacking to Beat the “Volumetric Weight” Trap

Just as I was getting ready to seal the shipping box, the client came through with a highly strategic request:

“Could you please take the controllers out of the boxes and flatten the boxes to reduce the volume? The volume must not exceed the weight, otherwise, I pay more to my freight forwarder.”

Anyone who regularly uses international shipping agents knows that volumetric weight is the ultimate wallet killer.

Say no more! I carefully separated the plastic trays, manuals, and outer cardboard boxes, flattening all 4 retail boxes completely. Next, I wrapped the bare controllers securely in multiple layers of heavy-duty bubble wrap. This simple adjustment sliced the package’s total volume nearly in half!

I sent over updated photos of the newly optimized package. Not only did it look incredibly neat and secure, but it also saved him a substantial amount on his final shipping invoice.

The Result & An Unexpected New Request

After calculating the domestic shipping and courier insurance fees, the client settled the remaining balance instantly. The next day, the package safely arrived at his freight forwarder’s warehouse in Foshan, Guangdong.

Interestingly, it seems the client fell in love with our efficiency. Right after confirming receipt of the controllers, he forwarded me a few new links, asking if I could message a seller to get a video of a motorcycle’s engine sound, check for mechanical issues, and see if there were any warning lights on the dashboard! It looks like our service menu is expanding into automotive inspection soon.
